How Stichting HERO Fund collects, uses and protects your personal data. Tap any section to expand.

  • Stichting HERO Fund ("HERO Fund") is a Dutch public-benefit foundation (ANBI). We support climate leaders and partner organisations.

  • We only collect what we need, and what you choose to share with us:

    • Contact details: name, email, phone, role/organisation, country.
    • Applications (leaders/programmes): forms/CVs, references, due-diligence notes, agreements, progress reports.
    • Funders & partners: contact details, correspondence, agreements, payment details needed for administration.
    • Newsletter / updates: name, email (only if you sign up).
    • Events/webinars: registration details and participation info.
    • Stories/testimonials: your story, photo, links — only with your consent.
    • Website: basic logs and functional cookies so the site works; analytics cookies only with your consent.

    We do not intentionally collect special-category data. If such data appears in documents you send, we minimise and protect it.

    • To respond to your messages and manage our relationship with you.
    • To assess, select and support leaders and projects; run circles, workshops and events.
    • For administration and compliance (records, payments, audit trail, statutory duties).
    • To send newsletters/updates if you subscribe (you can unsubscribe anytime).

    We do not sell your data and we do not make automated decisions about you.

    Legal basis: we use your data based on (i) your consent (e.g., newsletter, publishing a story), (ii) an agreement with you (e.g., grant or participation terms), (iii) our legal duties (e.g., finance and audit), and (iv) our legitimate interests in running and improving our programmes.

  • We share data only when necessary and with safeguards:

    • Service providers (secure email, cloud storage, event tools, accounting).
    • Professional advisers (legal, finance) and banks for payments.
    • Authorities when required by law.

    If data is transferred outside the EEA, we use EU-approved safeguards (e.g., Standard Contractual Clauses).

  • Our website uses strictly necessary cookies to function. If we use analytics or marketing cookies, we will ask for your consent first via a cookie banner. You can change your choices at any time in your browser or through the banner (when available).

    • Programme and grant files: normally up to 7 years after the end of the activity (to meet legal/accounting duties).
    • Routine correspondence: up to 2 years after last contact, unless needed longer for a clear reason.
    • Newsletter data: until you unsubscribe.

    Afterwards, we delete or securely anonymise the data.

  • We limit access to authorised staff and processors, use secure systems, encryption in transit, regular backups, and have procedures to handle and report incidents.

  • You can ask us to access, correct or delete your personal data, or to limit how we use it; you can also object to processing, and request data portability. Where we rely on consent, you can withdraw it at any time.
